Use of personal data in the GHHM Alumni Network
MSF UK takes your online privacy seriously. MSF UK applies UK data protection legislation and aims to protect your data.
What data do we collect and how do we use it?
As a GHHM lecturer or course attendee, we maintain your contact details, including your name, email address and the year you participated. We process this data on the basis of our legitimate interest under Article 6(1)(f) of the UK General Data Protection Regulation (GDPR) in ensuring that we can correctly identify whether an individual is eligible to register as a member of the GHHM Alumni Network.
Should you choose to register to be a member of the GHHM Alumni Network, you will be asked to create a password which remains private to you and complete a profile which you can choose to make available either to the whole network or a selected part of the network. Once registered, you will also be asked to consent as to whether you wish to receive communications from us about alumni news, events and careers initiatives. You can also choose whether your profile is visible to the whole GHHM Alumni Network or just to the people that you have connected to.
Once you have registered, we will also ask for further details about you to populate your profile. This includes any preferred name, middle name, nationality, country of residence, gender, current employing organization, medical specialty and, if you are a member of MSF contracted staff, your employment location and Operational Centre. We process this data under the basis of consent under Article 6(1)(a) of the UK GDPR and this information is optional and you can choose not to submit it. However, it helps us to communicate networking opportunities which are more relevant to you, identify whether you might be a suitable mentor for a GHHM course participant and measure the impact that GHHM Alumni are having in the wider Movement.
Once you have registered as a member of the GHHM Alumni Network, you also have the opportunity to share within the network messages, posts, photos and link to external websites and social media links. We process this data on the basis of consent under Article 6(1)(a) of the UK GDPR. This is entirely optional, and you have the capacity to limit what you choose to share to the whole network or just to a selected part of the network. Sharing information in this way is subject to acceptable use and the GHHM Team moderates the submissions to ensure appropriateness. Any posts which run contrary to the MSF Behavioral Standards or MSF UK’s Code of Conduct will not be tolerated. News stories, events and images uploaded as part of a post are subject to pre-approval by the GHHM Team before they appear on the network. If you feel that content posted on the platform is inappropriate, you can contact the GHHM Team for review via GHHM@london.msf.org
The platform also enables us to track your geo-location based on IP address of where you are accessing the site, log-in activity and your participation in our events, emails, competitions, surveys and other activities. We process this data on the basis of our legitimate interest under Article 6(1)(f) of the UK General Data Protection Regulation (GDPR) to measure the effectiveness of our communications and the impact that we are achieving in different countries and regions.
We may combine these data sets for the purposes of analysis and reporting. Any such analysis and reporting will be anonymised and will not include any personal data enabling the identification of individuals.
Where is your data stored?
MSF UK uses Toucan Tech Ltd to provide the platform for the GHHM Alumni Network which includes Customer Relationship Management (CRM) functionality. Toucan Tech Ltd acts as the Data Processor on behalf of MSF UK and has data centres in the Republic of Ireland.
Toucan Tech Ltd have undertaken to implement appropriate technical controls and organizational measures to ensure a level of security appropriate to the risk. This includes measures to ensure the ongoing confidentiality, integrity and availability of the data and regularly testing, assessing and evaluation of security measures.
Within MSF UK, only the GHHM Team have administrative access to your data.
How long will we keep your data?
Once you have participated in the GHHM course either as a lecturer or a course attendee, we will keep your contact information for 5 years at which point it will be deleted.
If you choose to register for the GHHM Alumni Network, we will keep your data for as long as you are a member of the network. We will confirm whether you wish to remain registered as a member of the GHHM Alumni Network every 5 years.
If you do not wish to remain a member of the GHHM Alumni Network, we will deregister you and retain your information in archive for 5 years before deleting it. This enables us, in the circumstances that you deregister from the network but subsequently wish to start participating again, to determine your eligibility.
Your rights
Under UK GDPR, you have the following legal rights:
No automatic decision-making producing a significant legal effect is used concerning your data and so this right does not apply.
